Out of Class Notification Policy

Official notices will be issued only for the following circumstances, provided appropriate documentation is submitted:

1. Medical Reasons

· Includes illness, surgery, or other medical conditions that prevent class attendance.

· Documentation required: A dated note from a licensed medical provider that includes the dates the student was seen and/or the recommended absence period, provider contact information, and a signature (either digital or handwritten).

2. Court-Related Obligations

· Includes subpoenas or mandatory court appearances.

· Documentation required: A copy of the subpoena or official court notice specifying the dates of required attendance.

3. Death of a Family Member

· Documentation required: Proof such as an obituary, funeral home statement, or funeral program that includes the name of the deceased, the student’s relationship to them, and the date and location of the services.

4. Military Obligations

· Includes deployment, training, or other mandatory service requirements.

· Documentation required: Official military orders specifying the dates of absence.

· Student responsibility: Students must notify the college if the dates of their military obligation are canceled or changed. Failure to do so may result in disciplinary action through the student conduct process.

 

How to Request an Out-of-Class Notice

All documentation and requests for out-of-class notices must be submitted via the student’s Newberry College email to OutofClass@newberry.edu. Be sure to include your Newberry ID Number in the body of your email.

Documentation must be attached to the email (not embedded in the body of the message). Requests submitted without appropriate attachments or delivered by any other method will not be accepted.

 

Deadlines for Requesting Out-of-Class Notices

Documentation and requests for out-of-class notices should be submitted to outofclass@newberry.edu prior to the absence when possible, or within three (3) days following the absence.

Requests submitted more than two weeks after the date of absence will not be accepted. No absence requests will be accepted for a term after the last day of final exams.

These deadlines apply regardless of institutional closures, holidays, or academic breaks.
