This policy outlines the rights, responsibilities, and procedures for students who are members of the U.S. Armed Forces, National Guard, or Reserves and are involuntarily called to service, including extended active duty (EAD), short-term active service or training (including pre-deployment training), or emergency mobilization.
A. Withdrawal Process
Students involuntarily called to active duty should begin the withdrawal process as soon as possible by submitting the following documents to the Registrar's Office:
- Withdrawal/Leave of Absence Form
- Military Withdrawal Supplement
- Official Military Orders
B. Remission of Fees
Affected students are eligible for special financial considerations:
- Tuition charges will be held in escrow for a period of twelve (12) months and applied toward tuition upon the student's re-enrollment. If the student elects not to return to Newberry College following release from active duty, tuition charges will be refunded upon written request.
- Other applicable fees will be assessed on a prorated basis through the date of activation. Any remaining balance attributable to unused services will be held in escrow and applied to future educational expenses upon re-enrollment. If the student elects not to return, these funds may be refunded upon written request.
- Questions about financial arrangements should be directed to the Office of Financial Aid and the Business Office to ensure a smooth transition and accurate account reconciliation.
C. Student Course Enrollment and Grades
- Registration through the midpoint of the term: Students involuntarily called to EAD may withdraw from course enrollment without academic penalty.
- Midpoint of the term through the end of the term: Students involuntarily called to EAD may withdraw from course enrollment without academic penalty.
- Students involuntarily called to EAD within the final two weeks of a course may, upon request and when academically feasible, be permitted to complete final examinations or other remaining course requirements early and retain the earned course grade.
D. Reenrollment After Military Service
Students who withdraw due to military service are eligible to return to Newberry College for up to three years following their release from active duty. Students are encouraged to
- Submit any updated transcripts or documentation from their time in service, including coursework completed through military education programs.
- Contact the Registrar's office for specific reenrollment conditions and benefits.
- Stay in contact with their academic advisor and the Registrar's office throughout the process
- Reach out to the Military Services Coordinator for help navigating college processes and military benefits
This policy does not apply to students who voluntarily enlist during the term or participate in elective training that is not mandated by their military unit.
